What we collect
When a parent or guardian submits an enquiry, we collect their name, email address, preferred reply method, and an optional parent/guardian contact number (needed if you ask for a phone call), plus any optional broad learner age band, approximate Urdu ability level and message they choose to give us. We record whether they separately choose to receive email updates. We do not ask for children's names, birth dates, school details, photos or medical information in the enquiry form. Please do not put sensitive personal information into a message.
Why we use it and our legal basis
- To respond to your enquiry: our legitimate interest in answering genuine questions from prospective families and responding to requests about our upcoming classes. We normally reply by email; if you choose a phone call and give a number, we may use it to respond specifically to that enquiry. Providing a phone number does not opt you into telephone or text-message marketing.
- To send optional class-launch and availability emails: your consent, only if you tick the separate marketing box. You can withdraw consent any time by replying “unsubscribe” or emailing us.
- To protect and run the website: our legitimate interest in website security, spam prevention and reliable delivery.
We will not use a parent’s enquiry for unrelated marketing without an appropriate legal basis and, where required, consent.
Who handles the data?
Our website is hosted by Netlify. The enquiry form is processed and stored using Netlify Forms, including its spam-filtering services. We use Google Gmail to answer messages and, if you opt in, to send occasional class updates. Website typography is loaded from Google Fonts, which may receive technical connection information such as your IP address. We do not currently add advertising pixels or analytics scripts to this site.
WhatsApp enquiries
If you choose the optional WhatsApp link, it opens WhatsApp to start a conversation with our academy. We do not embed WhatsApp tracking scripts on this website. WhatsApp (a Meta service) will process your phone number and any messages you choose to send under its own terms and privacy information. We use your message only to respond to your enquiry and follow up where necessary. Do not send children's names, photographs, medical information or other sensitive details. Sending a WhatsApp enquiry does not sign you up for promotional messages.
Storage and international processing
Our service providers, Netlify and Google, may process information outside the UK. International transfers are subject to the applicable legal requirements and the providers’ current data protection terms. You can contact us for information about how your enquiry data is handled. We do not sell contact information.
How long we keep it
Our intended policy is to review and remove ordinary enquiries no later than six months after the last contact, unless we need to keep a record longer for a specific dispute or legal obligation. If you opt in to email updates, we keep your contact details until you unsubscribe, or review and remove inactive contacts after twelve months without meaningful engagement. This requires the owner to periodically delete records from Netlify and Gmail.
Your choices and rights
You can ask to see, correct or delete personal information, object to certain processing, restrict its use and withdraw consent to optional update emails by contacting shanzaysurduacademy@gmail.com. Some rights depend on the circumstances and lawful basis. You can also complain to the Information Commissioner’s Office (ICO).
What happens if you don't submit?
The enquiry form is optional, and completing it does not reserve or purchase a class. You can browse the website without filling it in. The required contact name and email are needed only if you'd like an individual reply. Your phone number is optional unless you ask for a reply by phone.
